File Sharing with Clearline

In July 2023 we announced via email the replacement of our Exchange file sharing system with new ways of sharing files with us. The Exchange was discontinued effective July 24, 2023. In its place we have three ways of securely sharing files with Clearline that we have outlined below as Options 1, 2 and 3.

Option 1
Option 1 isn’t actually new as we have been using it successfully since the fall of 2022. This is the system where one of our Client Service Administrators (CSA) send you an email in which you can click a link to upload files securely to us. Many of you will be familiar with this process and the changes we are announcing today have no impact on this process. If you are unfamiliar with this process, it is simple, all you need to do is reach out to one of your contacts at Clearline indicating that you wish to securely send us a file and we will have a CSA send you the email with the link.

Option 2
Option 2 is for those of who you like using a portal system similar to how the Exchange worked. In order to use the portal we will need to create an account for you. So, if you would like to use the new file sharing portal simply let your Clearline representative know and they will have a CSA grant you access to an account. Our new portal system is backed by the same ShareFile system as Option 1 and it should be more user friendly than the Exchange.
One benefit of this new portal system is that your account can have more than one folder. So if you have multiple companies, we can setup a separate folder for each of them. Also, if you like using a portal to send us your personal tax information we can create a folder for that as well. This way one login to one account will grant you access to the file sharing portal for all of your corporate entities and your personal taxes so you don’t have to maintain multiple accounts.
Once you have been granted access to your portal you can access it by clicking on this link https://clearlinecpa.sharefile.com/ which will also be made available in our main menu on our the Clearline CPA website similar to the link that was available for the Exchange.

Option 3
Option 3 is sort of your choice of last resort. If for whatever reason you need to upload files to us and can’t get in touch with your Clearline representative to get an email with a share link then you could use Option 3. Similarly, if don’t have a portal setup or can’t get access to your portal then you could also use Option 3.
This option is a page on our website that you can access with this link https://www.clearlinecpa.ca/upload-documents/. A link will also be made available on our website’s main menu.
Once on this page you simply fill in some identification information (your email address, first and last name, company name and a description of what you are uploading) and then drag the file(s) that you need to upload on to the page and then submit them by clicking the upload button. It is important that you provide us with accurate identification information so that our team can determine where to put the files.

Conclusion
We hope that these three ways of sending us a file will be an improvement over the Exchange which was an outdated system that needed to be replaced for a variety of reasons. If you have any questions, please don’t hesitate to reach directly out to one of your Clearline representatives or email us at reception@clearlinecpa.ca.
